What the fire alarm system does
A building fire alarm system receives signals from initiating devices and system interfaces, processes those signals at control equipment and provides the required notification or control functions. Depending on the building, the system may include manual stations, smoke or heat detection, sprinkler waterflow, supervisory devices, audible and visible notification appliances, elevator interfaces and off-premises signaling.
Property managers do not need to troubleshoot the electronics, but they should understand the difference between normal and abnormal system conditions and know who is authorized to respond.
Alarm, supervisory and trouble are different conditions
Alarm
An alarm condition indicates a fire-alarm initiating event or other condition that requires the building’s alarm response. Follow the approved emergency procedure and treat an unexplained alarm as an emergency until it has been properly investigated and cleared by the appropriate personnel.
Supervisory
A supervisory signal generally indicates that a monitored fire-protection condition is abnormal—such as a monitored valve position or other supervised feature. It requires attention, but it is not the same as a fire alarm.
Trouble
A trouble signal indicates a problem affecting the fire alarm system or its monitoring, wiring, power or equipment. It should be investigated and corrected promptly in accordance with the building’s procedures.
What the property manager should know
- Where the fire alarm control unit and annunciators are located.
- How to contact the fire alarm service company and monitoring/supervising station when applicable.
- Who on staff is trained and authorized to operate controls.
- How to report an impairment and implement required temporary measures.
- Where inspection, testing and service records are kept.
- Which contractors or building work could accidentally affect detectors, notification devices or system wiring.

Required inspection, testing and maintenance should be performed by qualified personnel at the frequencies established by the applicable code, standard and AHJ. Building management should schedule the work, coordinate access, notify occupants or monitoring services when required, review the report and track deficiencies to closure.
After testing or service, confirm that the system has been returned to normal operating condition and that any temporary bypasses, disabled points, detector covers or monitoring changes have been restored as appropriate.
Control contractor work around the system
Dust, renovation, painting and other construction activities can affect detection devices and alarm equipment. When protective measures such as temporary detector covers or system isolations are permitted, they should be controlled under an approved procedure and removed or restored promptly after the work.
Keep useful alarm-system records
Maintain reports for required inspections and tests, service calls, deficiencies, repairs, alarm events where your procedures require documentation, and impairment/restoration activity. A clear record helps the building team distinguish recurring problems from one-time events and supports effective contractor follow-up.
